Trip pricing calculator

Enter what a trip costs you to run, per trip and per guest, with the smallest and largest group you will take. The calculator gives you break-even per person at both, a price that protects your margin on a small group, and the deposit to take at booking.

How it works

What this calculates

The mistake in most trip pricing is dividing the cost of a full trip by the full group. Most departures are not full. The calculator separates costs that are fixed per trip, such as the guide's day, permits, transport and insurance, from costs that move with each guest, such as food and gear wear, and works out break-even at your minimum group and at your maximum.

The suggested price is the break-even at the minimum group plus your target margin, rounded up to a figure that reads like a price. At that price a full group earns more than the target, which is where the season's profit actually comes from.

Deposits and balances

The last line turns the price into a deposit and a balance. In Treka a trip carries its deposit as a percentage or a fixed amount, the balance is charged automatically to the same card a set number of days before the trip, or collected on the day if that is how you work, and reminders go out before the charge. A 25% to 50% deposit is the usual range for guided trips; multi-day and remote trips sit at the top of it.

What to do next

Publish the price, set the deposit on the trip, and let the balance collect itself. If you want someone to walk through your pricing with you, book a demo.

Talk to us

Can I take a deposit and collect the rest later?

Yes. Set a deposit as a percentage or a fixed amount, and choose whether the balance is charged automatically before the trip or collected in cash on the day. Cash balances are recorded against the booking so your numbers reconcile.

Can a trip have a minimum group?

Yes. A trip carries the minimum and maximum guests per departure; the calendar refuses a booking that would exceed the maximum, and you decide when a departure below the minimum runs or is moved.

Does the price include Treka's booking fee?

No. The 3% booking fee is added at checkout and paid by the guest, so the price you publish is the price you keep, less Stripe's card processing.

What does Treka cost?

Treka's pricing is public: 30 days of Core free, then Core at $99 a month or $79 a month billed yearly, Pro at $399 a month or $329 a month billed yearly. A 3% booking fee is added at checkout and paid by the guest, and Stripe's card processing (2.9% + 30¢) is billed at cost with no markup.
