Deposits and balance payments for guided trips

The deposit at booking. The balance before the trip. Nobody on the phone.

Set a deposit per trip, as a percentage or a fixed amount. Treka takes it at checkout, reminds the guest when the balance is due, charges the card on the day you chose, and records cash balances for the operations that still work that way.

How it works

How deposits work in Treka

  1. 01

Set the deposit on the trip

Each trip carries its own rule: a percentage of the price or a fixed amount per booking, and when the balance is due, a number of days before the trip. Packages inside a trip can carry their own deposit.

  2. 02

The guest pays the deposit at checkout

On your booking page or widget the guest sees the deposit, the balance and the date it is due before they pay. The card is charged for the deposit only, and the booking is confirmed.

  3. 03

Treka reminds, then charges the balance

A reminder goes to the guest ahead of the due date with a link to pay early. On the day, Treka charges the balance to the card on file. A booking that was cancelled or refunded in between is never charged.

  4. 04

Or collect the balance in cash

For trips where the balance is paid on the day, choose cash collection. The guest is told what to bring, and the booking carries the amount owed until you mark it collected, so your numbers still reconcile.

Deposits are a cancellation policy you do not have to argue about

A deposit taken at booking does two things at once. It filters out the guests who were never going to show, and it gives you something to hold against a late cancellation without a conversation. Treka records the policy text the guest agreed to at checkout, so when a guest asks for their deposit back the answer is already written down.

Multi-day and seasonal operations use the second half of the rule as much as the first. A hunt booked in January for October does not need the full price in January; it needs a deposit now and a date on which the rest is due. Set the days-before-trip once and Treka handles each booking's own calendar from there.

Money arrives in your account, not ours

Payments run through Stripe Connect into the operator's own account. Treka does not hold your money or take a commission on your bookings. A 3% booking fee is added at checkout and paid by the guest; card processing is billed by Stripe at cost. Guides you pay per trip are paid from the same place, which is covered on the guide scheduling page.

Can I take a deposit and collect the rest on the day?

Yes. Set a deposit as a percentage or a fixed amount, then choose whether the balance is charged automatically to the card before the trip or collected in cash when the guest arrives. Cash balances are recorded on the booking until you mark them collected.

When is the balance charged?

On the day you set per trip, a number of days before the departure. The guest gets a reminder first, with a link to pay early. On the due date Treka charges the card the guest used for the deposit.

What happens if the card fails on the balance?

Treka retries the charge, and if it still fails you are told and the guest receives a link to pay with another card. The booking stays visible as balance due until it is settled.

Can different trips have different deposit rules?

Yes. The deposit type, amount and balance due date are set on each trip, and packages inside a trip can override them. A day trip can be paid in full while a multi-day trip takes a deposit.

How do refunds work?

From the booking, refund part or all of what was paid. If you offer credit rather than cash, the refund can be issued as a gift card for a future trip. Either way the booking's payment history shows what happened and when.

Does Treka take a cut of my bookings?

No commission on your own bookings. A 3% booking fee is paid by the guest at checkout, and Stripe's card processing is billed at cost. Your money settles into your own Stripe account.

Is this included, or an add-on?

Included in every plan. Every company starts with 30 days of Core, free. After that Core is $99 a month, or $79 a month billed yearly ($948), and Pro is $399 a month, or $329 a month billed yearly ($3,948). Pro adds custom AI agents, SEO optimization and a named contact. A custom website built by our team is quoted separately; book a demo to scope it. A 3% booking fee is added at checkout and paid by the guest; Stripe's card processing (2.9% + 30¢) is billed at cost. No contract.

Can I bring my existing trips and clients over?

Yes. Point Treka at your current website and it imports your trips, prices and photos; client lists come in from a spreadsheet or an export from your current system. Self-serve setup is free, and white-glove migration is $749 one-time on monthly plans and free on annual.
